Terms & Conditions
Clients must adhere to the health and safety guidelines whilst on the yard and follow instructions given by the staff.
Clients must ensure that they follow the guide for correct dress including wearing of suitable up to current standard safety hats.
Clients must notify us of any health condition relevant to their ability to ride or handle horses.
Please note that we have a weight limit of 12 stone for ridden sessions due to the height/build and workload of our horses to maintain their welfare. Riders will be weighed on arrival to check rider registration forms and must be within our current limit in order to have their ridden session. If a rider is over the weight limit then unfortuantely the lesson money would be forfeited. Please check your weight before booking your ride.
Payments must be made at the time of booking. Once a lesson is booked and paid for our cancellation policy applies. If you are late for your lesson and the ride has already started we reserve the right to refuse your entry to the lesson if we consider to do so would disrupt the riders already in there, or be of a health and safety concern. If this was the case then unfortunately you would forfeit your payment and it would not be transferable to another lesson.
Loyalty memberships must be kept up-to-date and loyalty cards should be carried when on site if they require signing. Cards will only be signed on the day and can not be signed retrospectively. Please read the full terms inside of the card.
Particular horses and ponies can be requested for private lessons only, however this is subject to instructor approval, ponies working hours and days off so can be subject to change. If you are in a group lesson and unhappy with your allocated horse, please speak to your instructor as they may be able to swop riders around on the day.
When booking a one hour group lesson, this will run to full length if there are 3 or more riders. Where there are two riders the lesson length will be reduced to 45 minutes and if only one rider is in the group, the lesson will run as a half an hour private session but no additional charges will be made.
We have a no filming of lessons policy for our group rides and events. Permission must be obtained in a private lesson before filming each time you have a lesson and must not include our coach's. Footage from private lessons is for personal use only, it is not to be shared onto social media or family social media sites without permission from the yard manager. Full details of this are listed within our main office.
Clients of the school may hire a horse for our SJ/Dressage events or jumping clinics. It is expected that you will have ridden regularly with us beforehand in the last six months and completed a number of jumping lessons and demonstrated the correct ability for the classes/clinic that you want to try.
RIDING IS A RISK SPORT
YOUR CHOICE TO RIDE IS VOLUNTARY. WE TAKE CARE TO PROVIDE SUITABLE HORSES AND PONIES FOR OUR CUSTOMERS, BUT ALL ANIMALS CAN BE UNPREDICTABLE. WE STRONGLY ADVISE YOU TO TAKE OUT PERSONAL ACCIDENT COVER.
COMPLAINTS PROCEDURE
All complaints are to be made in writing to the Manager at Fletchers Farm Riding School by email at manager@fletchersfarm.co.uk. We will respond in writing within 5 working days to the complaint. We will aim to resolve the complaint where at all possible, and if we can not, then to provide further information as to how we reached our conclusion. Any complaints are always investigated and if required processes/procedures reviewed.
CANCELLATION POLICY
Cancelling your lesson with less than 48 hours notice prior to the booking irrespective of the reason, or failing to turn up on the day will result in you losing 100% of your booking fee, you will not be able to transfer your lesson after this time. If we have a waiting list and can resell the space then we would credit the lesson to you. This policy applies in cases of rider sickness, car issues, forgetting to come to the session as well as other reasons.
You may reschedule on two occasions up until 48 hours prior to the lesson time. If you rearrange a third occasion you will be charged the full price of the new booking.
If you are late for your lesson and the ride has already started we reserve the right to refuse your entry to the lesson if we consider to do so would disrupt the riders already in there, or be of a health and safety concern. If this was the case then unfortunately you would forfeit your payment and it would not be transferable to another lesson.
Refunds will not be given if cancelling a lesson once it has been booked.
Events/shows and activities other than lessons are non-refundable and non-transferable. However, if we have a waiting list and are able to resell the space then we would credit you.
Bookings will be re-arranged in the case of the Met Office issuing regional red or in some cases amber warnings. The website will be kept updated.
RESERVE YOUR RIDE SCHEME
Available for weekly Group riders
Ideal for customers who are keen to ride regularly at the same time each week for both convenience and progression.
- Your ride slot will be reserved for your requested time slot each week on an ongoing basis.
- You will be able to pay by standing order each week so that you do not need to worry about having to call the office to book ahead.
- Please contact the manager email on manager@fletchersfarm.co.uk before setting up your standing order to ensure a space is available in the group you require and for us to check which date this can start from
- Please make your standing order reference, in the riders Surname, day and group e.g SmithThursNovice or JonesTuesBeginner. As riders move up groups speak to the office to find a suitable space to book.
- Payments to be set up to Fletchers Farm Riding Limited, Sort code: 30-99-50, Account number: 64885768 (as it is a standing order, you will need to initially set this up with your bank to make the payment each week into the riding school account)

T&C FOR THE SCHEME
The scheme allows for 6 weeks (lessons) holiday a year. Over this amount we will ask that you move the lessons to other spaces/days to take them. We reserve the right to cancel the reserve slot if a rider regularly cancels their ride space due to holidays/sickness or other circumstances and place you back onto the regular booking method where you can have more freedom to move the lessons. Holiday dates should be emailed to the manager@fletchersfarm.co.uk , holiday runs from Jan-Dec and is pro rata when joining through the year.
Please note there is a longer cancellation period for the scheme as we will turn riders away from lessons that are booked via standing orders and this makes it harder to resell spaces. This notice period is 5 days. If you do not wish to have the longer cancellation policy please book via the normal booking method rather than the scheme.
When you provide the notice we will refund that payment back into the account on the week you have given notice for. If you have a full loyalty scheme card to use we will refund that amount against the card for you back into your account on the week that the card is dated for.
Your payment must be cleared into the riding school by 4pm on the Monday each week. If payment is not received on the Monday, the office will open the space up and sell it on Tuesday morning and the reserve space will be open again for someone else to use.
We further reserve the right to cancel the Reserve your Ride scheme if business requirements change.
